The Problem

Flowerday wanted to harness the power of AI to grow their business and provide the best possible support to their clients

Flowerday used to find out whether a project was profitable months after it had finished. By then, it could be too late to make changes.

Quoting was slow and manual, and assembling the shareholder and board reporting pack took the better part of a day.

The business also had repetitive work across finance and operations. Information was being entered into more than one system creating unnecessary duplicates. The finance team was spending time preparing spreadsheets, formatting information, and searching for files, which was taking away from analysis and decision-making.

Company knowledge and work process

Flowerday wanted Numa to become an integral part of how they operate, informed by the company’s institutional knowledge and values. The team gave Numa guidance to simplify information and produce work that is aligned with their brand styles and voice.

Connected finance processes

Flowerday enters information into its building system once, then a Numa agent extracts it and populates it in Xero. The finance team also uses Numa for invoice processing, month-end, and reconciling information between the operations and accounting systems. Month-end is now almost all automatic.

Result: Saves the team about a day and a half of work each week.

Live back-costing

Flowerday connected Numa with Xero and its building system to track job spending against budget during construction.

Project managers can see how jobs are tracking financially and make decisions using current information, rather than waiting until months after a project is complete.

Result:  Project managers can make better-informed decisions using current information, rather than relying on figures that may be up to 12 months old.

Price estimating and automated quoting

An estimating agent scans plans and specifications to estimate the price of a house. It was trained on more than 50 of Flowerday’s past quotes to reflect how the business prices its work.

‍

When a subcontractor’s quote is needed, the agent sends them the relevant plans and specifications. When the quote comes back, it populates the schedule of quantities. If it has not arrived within two weeks, the agent sends a reminder and follows up every 48 hours until it comes back.

‍

Result: Quotes are now within approximately 1% of the estimator’s pricing.

Property Scanner

‍Flowerday can enter an address in the Western Bay or TCC area to assess whether a property may be suitable for subdivision or an additional dwelling.

‍

Numa generates a branded feasibility report that is comparable to the kind of report a property owner would expect from a town planner. Flowerday sends the reports to potential customers as a way to introduce its services and create future opportunities.

‍

Result: The Property Scanner has generated more than 500 qualified local leads.

‍

Branded outputs that are ready to use

Flowerday’s colours and logos are held in the knowledge base. Numa can use that information to present outputs in line with the company’s branding.

‍

All the necessary information is at their fingertips, giving staff more time to look at the trends and decide what to do next rather than preparing and formatting spreadsheets or searching the server.

Automated invoice processing

One of Flowerday’s main finance challenges was entering invoices twice between its operations system and accounting system. Within the first week of having Numa up and running, the team built an agent that removed that duplicate entries and saved invoice processing time.

Access across roles

Numa is being used by the accounts team and site managers, making it easier for people in different roles to use the technology in their day-to-day work.

‍Automating the transfer of information into Xero saves about a day and a half each week. ‍Invoices no longer need to be entered twice between the operations and accounting systems. The shareholder presentation that previously took almost the full day now takes about an hour to assemble.

The team can spend more time diving into the numbers, looking for trends, and working out the next step, rather than preparing spreadsheets and searching for information.
